The Role
This role plays a pivotal part in maintaining the efficiency and quality of Facilities Management services within the PDNSW portfolio while fostering positive client relationships and ensuring compliance with contractual obligations for the employer.
Key Accountabilities:
- Site Operations Management: Efficiently manage site operations, including both scheduled and ad-hoc tasks, to maintain property services with minimal disruption to client business operations.
- Routine Maintenance: Ensure the execution of scheduled routine tasks and preventive maintenance activities, contributing insights to the Engineering & Asset Management team for compliance and client-specific requirements.
- Equipment Oversight: Ensure proper management of newly installed equipment, including appropriate identification and tracking.
- Performance Monitoring: Review role-specific dashboard reports to formulate maintenance strategies and identify potential performance issues related to vendors and assets.
- Client Reporting: Contribute to client reporting pertinent to the portfolio, offering insights and updates.
- On-Site Inspections: Conduct on-site property and asset inspections at agreed-upon frequencies, employing established tools and templates.
- Budget Control: Manage and control budget and cost expenditures to meet contractual requirements for both preventative and reactive maintenance at designated sites.
- Asset Management: Oversee asset management, ensuring all preventive maintenance services adhere to environmental and safety guidelines, legislative requirements, and site-specific asset needs.
- Reactive Maintenance: Manage reactive maintenance through the Help Desk function, analysing data to ensure compliance with attendance and rectification time lines.
- Escalation Management: Handle escalations via the Help Desk (CXC), Client Agency representatives, and stakeholders, ensuring prompt resolution.
- Quote Approval: Review and approve quotes within delegated authority procedures.
- Innovation: Maintain a focus on innovation, actively seeking feedback from stakeholders to enhance service delivery continually.
- Contractual Deliverable: Ensure the fulfilment of key contractual deliverable, including annual plans/reports, business reviews, and service delivery optimisation.
- Monthly Reporting: Contribute to the delivery of monthly reports, including analytics and insightful commentary, aligned with contractual obligations.
- Financial Oversight: Manage the budget and financial performance of the portfolio, including providing input into annual FM budget preparation and quarterly forecasts.
Experience & Qualifications:
- Minimum 5 years of experience in Facilities Management, encompassing both non-technical and technical asset types.
- Demonstrated proficiency in overseeing major facilities or projects spanning multiple sites.
- Strong people management skills with the ability to lead teams across a geographically dispersed portfolio.
- Familiarity with software systems relevant to commercial property management.
- Preferred qualifications include a Diploma in Facilities Management, or alternatively, a Trade qualification coupled with at least 4 years of relevant experience.
- Experience in financial management, including budgeting and cost control.
- Excellent business writing and presentation skills.
- Competence in managing risk and ensuring compliance with relevant regulations.
- Proficiency in systems and data management.
Salary & Work Rights
- $115K - $125K + 11% Super depending on experience
